Question 5

How did you approach and/or support end user training?
a. How was training accomplished for the care team?
The care team was scheduled into short sessions that focused on the individual elements of NextGen that pertained to their individual duties. Visit Coordinators were trained in their essential tools as were clinicians, nurses and MA’s. As changes occur “Tips of the Day” are sent to the care team via email updating them on the changes affecting their documentation. This has continued to be the approach we have taken to training. Training the care team is an ongoing, daily project with support available in the clinic during the course of our business day.


b. Was there any attempt to provide process training in addition to functional training?
Yes. The processes changed along with the implementation of the electronic documentation. The medication module and the implementation of electronic prescriptions, the referral process, etc. have given us the opportunity to update policies and procedures. There have been processes incorporated into the care team trainings as these changes have occurred.

c. Did you do a skills assessment prior to implementation? If so, can you share any surveys or assessments you used? What was done to mitigate any skill deficiencies?
All staff was encouraged to participate in computer skills training (Word, email, etc.). From this, skills were assessed and additional training was offered as needed. The training room was also available for any staff that wanted to practice either their basic computer or NextGen skills. We also do real-time monitoring as a training reinforcement tool including Vitals capture, order processing, and scope of practice issues.
